Main Courier: How to Assign an Invoice to a Substitute

We've made sharing invoices as easy as possible for both you and your substitute. In this article, you'll find instructions for various situations.

The substitute uses Truster

This is the easiest way to share an invoice. We’ll receive your billing information according to the usual schedule, create the invoice for you, and notify you in the app once it’s ready. You can then share the invoice with your substitute.

  1. Click on the invoice you want to share
  2. Click " Share invoice with another user"
  3. Click on the substitute* from the list to whom you want to send the invoice
  4. Enter the percentage (%) of the invoice total that you are transferring to the substitute
  5. Check that the information is correct and confirm the transfer

⚠️ Once you confirm the invoice split, it can no longer be edited. If the split is incorrect (or you forget to do it), correcting it will require manual work, for which we will charge a separate fee.

*The substitute does not appear on the list

If the substitute isn't showing up on the list, ask them for a code that will allow you to add them to the list. You'll only need the code once. The substitute can find the code in their own app by following these instructions:

  1. Open the Menu in the app
  2. Click " Split Bill"
  3. Click " Allow data sharing"
  4. Copy the code that appears and send it to the main courier

The substitute does not use Truster

If the substitute does not use Truster, the process is slightly different. We will receive your billing information according to the normal schedule and create an invoice for you. Since the substitute does not use Truster, you cannot forward the invoice to them, so the invoice will be paid to you. The process is as follows:

  1. We will create and send you an invoice (VAT 0)
  2. The substitute will issue an invoice to you for the work they have done (the invoice includes VAT)
  3. Pay the full amount to the substitute
  4. Import invoices into your accounting system using a receipt scanner

Since we collect the VAT from your invoices and report it to the Tax Administration on your behalf as part of our VAT filings, you will receive a refund for the VAT included in your invoices after each filing period.

On-call pay and substitute

If you want to receive Hetipalkka for your share, first split the invoice. Once you’ve split your share with the substitute, click on the invoice again and select Hetipalkka. You’ll receive a notification in the “Tasks” section of the app’s Home screen once the invoice has been created and is ready to be split.

The substitute will receive a notification in their app once you have assigned the invoice to them. If the substitute wants to receive their pay via Hetipalkka, they should click on the invoice and select Hetipalkka. The substitute cannot be paid until you have assigned the invoice to them.

More than one substitute?

If you have multiple substitutes and want to send them a single invoice, follow these instructions:

  1. First, split the bill among those with the lower percentage (%)
  2. Redistribute the bill. This time, give it to the person with the higher percentage (%)

For example, if Substitute A’s share is 20% and Substitute B’s share is 40%, first allocate the bill to Substitute A.
